TEACHER FAQs

Q: Are background checks required for music professionals visiting schools?

A: Music professionals volunteering or working with schools through the Music Makes Us Online Hub are not required to complete background checks. According to T.C.A. § 49-5-413 (d)(5)(A)(iv), background checks are not required for persons performing a service, “at a school-sponsored activity, assembly or event at which school officials or employees are present when the service is performed and where the activity, assembly or event is conducted under the supervision of school officials or employees.”

Q:  How do I apply for funds?

A:  Go here, scroll to the bottom of the page and click on the link to download the application.  Once your've completed the application, email it to Valerie Harbin.

Q:  How much money will be awarded to the applicants?

A:  Award amounts will vary based on available funds and the cost of the selected program.  While you are welcome to utilize as many of these programs as you would like, we must limit the awards to one per school per school year.

Q:  Who will be responsible for contacting the artist and setting up the arrangements?

A:  Each teacher who wishes to work with one of the Hub artists will be responsible for contacting the artist and making all the appropriate arrangements with them, assuming permission is granted from the principal. 

Q:  When will we be notified if we have received an award?

A:  We anticipate notifying applicants of any funding awards within one to two weeks from the time the application is received.  Complete instructions on how artists will be paid, required documentation and evaluations, etc. will be sent with the award letter.

Teachers or other school personnel must be present with music professionals at all times. Music professionals shall not be alone with students. A principal—at his or her discretion—may require a background check to be completed on a case-by-case basis.

Q: In the Profile Information section, what is an “Organizational Purpose Statement”?

A: If you are applying as an organization, include your mission statement here.

Q: In the “Demonstration of Ability Section” what is a “Background Statement”?

A: If you are applying as an organization, a Background Statement is meant to describe how your organization has been engaged in education outreach programs. If your organization has a listing on GivingMatters.com, you may cut and paste that Background Statement for this section.

Q: Are college groups eligible to apply?

A: Yes. All members must be over 18. The group must be officially sponsored by a college or university and fit all other criteria.

Q: May I apply in both Track A and Track B.

A: No, there is no advantage to applying in both tracks. Please decide which track is the most appropriate for your skills, abilities and available time commitment.

Q: Are private instrumental or voice lessons considered a Program Type?

A: No, the Online Hub does not fund private lessons. Several schools in MNPS do have private instructors who coordinate with the music educators on site. If you would like more information, please contact Dr. Nola Jones, Coordinator of Visual and Performing Arts.

Q: What types of formats are acceptable for uploads?

A: For the artist/organization photo, png, gif, jpg, jpeg files are acceptable, no larger than 2 MB. For word documents (cover letter, resumes, letters of reference), use only MS Word or PDF files. For work samples, use only YouTube or Vimeo links. Unfortunately, we do not have the capacity for larger files.

Q: My work samples are not on YouTube or Vimeo. Do I have the option of attaching an MP3 or other such file?

A: Unfortunately, we do not have the storage capacity to allow audio/video work samples to be uploaded directly to the site. Setting up a YouTube or Vimeo account is a simple process. Both sites also have help topics on converting and uploading audio/video. You can find help on YouTube here and Vimeo here.

Q: What is meant by the "*"?

A: If you see an * next to any question, your response is REQUIRED. Your application will be considered incomplete and therefore invalid if all required responses and attachments are not complete.

Q: In the Profile Information section of the application, what is required in the Artist Bio section?

A: If applying as an individual artist, include a narrative bio statement of no more than 200 words. Do NOT cut and paste a resume here!
